Tropically is a Bali-based property and hospitality management company managing private villas and hospitality properties. We are looking for an experienced and hands-on Operational Manager to lead and coordinate the operational performance of the group.

The Operational Manager will be responsible for ensuring consistent service standards, improving operational systems, supporting property teams, managing resources, and effectively implementing management decisions and directives. The role requires close coordination with guests, vendors, contractors, and internal departments across the business.

Key responsibilities

  • Oversee and coordinate the overall day-to-day operations of the group and its managed properties.
  • Ensure consistent operational standards, service quality, and company procedures are implemented across all properties.
  • Manage and coordinate operational departments and teams, including housekeeping, engineering, laundry, security, guest services, and other support functions.
  • Develop, implement, and continuously improve group-wide SOPs, policies, workflows, and operational standards in accordance with management directives.
  • Implement new operational systems and company software, ensuring teams follow the required workflows and procedures correctly.
  • Monitor the performance, attendance, discipline, productivity, and development of operational teams across the group.
  • Coordinate staffing requirements, team allocation, operational coverage, and resource planning between properties.
  • Conduct regular property inspections and operational reviews to identify issues, risks, and opportunities for improvement.
  • Coordinate maintenance, repairs, preventive maintenance, renovations, and other technical or operational projects across the group.
  • Ensure all properties are properly maintained, clean, functional, compliant, and guest-ready.
  • Coordinate with vendors, contractors, suppliers, and external service providers.
  • Evaluate vendor performance and support the selection, negotiation, and management of operational suppliers.
  • Monitor group-wide operational expenses and ensure spending is necessary, cost-effective, properly approved, and accurately documented.
  • Coordinate with management and finance regarding operational budgets, expenses, purchasing, inventory, and reporting.
  • Handle operational issues, emergencies, and escalations across the group efficiently and professionally.
  • Provide management with accurate operational updates, reports, and recommendations when required.
  • Support the guest experience across all properties and ensure guest complaints and operational issues are resolved promptly and professionally.
  • Identify opportunities to improve operational efficiency, service quality, team performance, guest satisfaction, and cost control.
  • Support the opening, onboarding, transition, and integration of new properties into the group’s operations.
  • Prepare regular operational reports for management, including insights, recommendations, and action plans.
  • Ensure compliance with company policies, safety procedures, legal requirements, and applicable hospitality standards.

Requirements

  • Minimum five years of experience in villa management, hotel operations, hospitality, property management, or a related field.
  • Proven experience overseeing multiple properties, departments, or operational teams.
  • Experience managing multi-site or group-wide operations is highly preferred.
  • Strong leadership, coordination, delegation, and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Able to manage multiple priorities and operational challenges across different locations.
  • Able to follow management direction while also working independently and making sound operational decisions.
  • Able to remain calm, organized, and effective under pressure.
  • Good understanding of maintenance, housekeeping, guest services, staffing, procurement, and general property operations.
  • Comfortable using WhatsApp, Google Workspace, Microsoft Office, and operational management or reporting systems.
  • Fluent English communication skills, both written and spoken.
  • Based in Bali and familiar with Bali’s hospitality and property management environment.
  • Possess a valid driving licence and be able to travel regularly between properties and operational locations.

Preferred

  • Experience managing a portfolio of villas, hotels, hospitality businesses, or multiple operational sites.
  • Experience coordinating with international guests, vendors, contractors, or business partners.
  • Strong understanding of Bali hospitality standards and local operational practices.
  • Experience creating, implementing, and auditing SOPs and operational systems.
  • Experience introducing new software, workflows, or reporting systems across operational teams.
  • Experience with budgeting, cost control, procurement, vendor management, and operational reporting.
  • Experience supporting new property openings, transitions, or operational expansions.
